How do I set up a registration area for a conference?
Location and layout
Registration should be the first thing attendees see when they walk in. Put it inside the entrance with room for a line to form without blocking the door. Use two or three check-in stations for a mid-size conference so the line moves quickly.
Separate the sign-in area from coffee or badge pickup to prevent crowding. If you need an accessible check-in table, mark it clearly and make sure it is at a comfortable height for someone seated.

Materials and staffing
Pre-sort badges alphabetically to speed up check-in. Keep backup supplies such as lanyards, pens and a spare printer cartridge under the table. Staff each station with someone who knows the schedule and can answer simple questions.
Set up a separate table for speakers and vendors so they do not wait in the attendee line. Mark it clearly on the floor plan.
Test before doors open
Run a test check-in the day before the event. Print a few badges, scan a few QR codes and confirm the internet connection works at each station. Finding a problem during setup is much easier than during a rush at the start of the day.

- Placing the registration desk in a far corner where attendees cannot find it.
- Using only one check-in station for a crowd of several hundred.
- Forgetting power and internet access at the desk.
